Chapter 4 - Proper planning for success
Ok, so we’ve gotten to the place where we’re going to consider conducting a golf fundraising event. We’re not sure we’re “in” just yet, but, we want to test the waters a bit and see if we can pull it off.
So, what do we do first?
In my opinion (notice I went to the first person here) we have to conduct a quick diagnosis of our ability to get the essentials together that we might have those in place to give us a better chance at success.
Conduct a Golf Fundraising Event Feasibility Review (available thru bill@golffromtheheart.golf). This is labeled “Diagnosis” on the document, but the first page is a short look at the necessary primary ingredients to determine if you have the right dynamics for a successful event.
We are conducting a diagnosis here, we’re not actually, recruiting the people. We’re just walking through a process to see if we have the right people interested or that we could convince to be interested in our organization and filling one of the positions for which they qualify.
However, by conducting this diagnosis we are also preparing ourselves to implement and use this process to, actually, the next time, recruit these individuals. So, once deciding to conduct the event, we will return here to review and shore-up this process to begin the recruitment of our committee members.
“Do the Board of Directors Agree with the Event?” If you have a Board of Directors, you know what this question refers to! You, possibly, would have had to get their approval to conduct special events and, certainly, inform them you are looking into a golf fundraising event as a possible event for the next year. You can use this feasibility “look” as a precursor to, even, ask, them to allow you to consider this type event, ie, if you look at steps 3 – 5 (Can we find …) you will have some pretty good proof that you can conduct a successful event. We’ll expand on that a bit later.
If you don’t have a Board, you will probably have a leadership group and key volunteers you may be accountable to or just work with. The questions below apply to this group as well.
“Will the Board participate in the fundraising?” This is also quite critical. Why? Because, as most nonprofits know, one of the primary responsibilities of a Board is to raise/contribute funds to the organization. I won’t get too deep into it, but, it should be known by all Board members that they have a responsibility to fiscally assist the organization.
So, will they agree to contribute to the effort to raise funds through the process of conducting a golf fundraising event?
If the answer is “no”, don’t quit yet, it just makes the next three questions all the more important, but, this does restrict the financial success of your event if the Board is not willing to use this format to raise money.
Next – “Can we find ...? Oh, yeah, now we're getting into it! Again, we’re in the Diagnostic phase of our event, but, even if we don’t decide to conduct the golf fundraising event, we have an opportunity to develop some helpful lists for our other fundraising endeavors, really!
So, let’s get serious here and pull out our other lists and contacts and/or our already discussed and reviewed high priority group of donors/sponsors or caring people near and dear to our organization.
What do you mean? If you haven’t already gone through a review of your “developmental” potential for your organization, that’s ok, but, if you are involved in the financial development of your organization, you need to look closely at who your major donors are, who you believe love and care for your organization that you could make major donors and with whom you want to have a serious, heart-felt, discussion about contributing to the organization.
Again, this could be the opportunity you needed to begin this process or you may have already done that and can, easily, move into this next part of the diagnostic.
We’re looking for nine people! Three candidates for the Tournament Chair, three candidates for The Golf Fundraising Director and 3 candidates for the Sponsorship Chair. We have a process later that begins to list everyone we can think of that cares about the organization, but, for now, we’re looking for the top nine folks that can be considered to fill these important positions. We will identify three people that meet the characteristics for the Tournament Chair (TC) and it may be possible that the two that do not agree to be the TC will have the characteristics of a good Golf Fundraising Director (GFD) and/or Sponsorship Chair (SC), so, we’ll have the opportunity to consider all nine of these folks in a variety of ways.

You’ll notice that the first thing we see is a table with fields for Name, Position, etc., etc. This will become the format for all of the discussions and decisions about “whom” the folks are we want to engage with relative to this event. Why? Because this list is going to grow and grow and grow as we go through each segment of this developmental process for a fundraising effort that, in this case, just happens to be a golf fundraiser, heck it could be a bowl-a-thon, but, this process is necessary to find the right candidates and grow the list in order to include all of those we know who care about or could be convinced to care about our organization. Make sense??
So, since this is, specifically, an influential person we are looking for, we need to put our thinking caps (and ask the Lord - highly recommended) on and determine who the right candidates are for the Tournament Chair.
Solicitor, of course, the heading in the middle of the table means; “who will be the person that has the best relationship with this person to ask them to participate?”
Contact Phone should be their cell phone if possible.
What do we say? Well, that means, what do we say to this person about this event and why they are needed?
Tagline - This is a great opportunity at the outset to determine what will be the reason we are conducting this fundraising golf event or any event for your organization, if you will. What is the “flesh and blood” reason you are conducting this golf fundraiser?
You see, this is very, very important, because you are going to want all of your staff, all of the participants, all of the committee to have this “tag line” on their lips as you move forward with this fundraiser.
“__________________ Christian School is conducting this golf fundraising event in order to fund our new _____________________ which will allow our students to get a more indepth understanding of ___________________”.
“Our Red Cross is funding our new ‘First-Responder’ readiness kit to save more lives in our next disaster.”
“The Boys and Girls Club of _____________________ is raising funds to scholarship ten more 7 - 10 year old members from the children with financial need we have recognized in the community that are latch-key kids after school. We want to impact their lives for the good.”
Why do we need you as this GEC (TC)? …. because “You are a recognized leader and influential person in this community. We desire to have you join with us during this event in order to attach importance, quality and notoriety to this event and our organization. We know that you have a heart to benefit programs and individuals in this community and we believe our program is one that will, truly, impact the lives of many in this community, especially many of whom may not have other opportunities to participate in programs such as ours without your help.
What will be the benefits to you? … “We know that you don’t need any incentive to become the Tournament Chairperson for our event, but, we also know that it would be beneficial to have some reason for joining with us. Our organization is influential in this community as we’ve stated earlier and your engagement with us can only be positive.
We hope to conduct a significant promotional campaign within the community and identify you as the “face” for our event. We are very excited and happy to have you on board with us in this community.
We are not;
We are asking you to;
Characteristics. This is very important because the characteristics of the TC/GEC and the rest of these critical positions, the GFD and the SC, must meet these characteristics in order for them to have the capability to perform their job!!
You can see the characteristics on the form. What does a person of this magnitude look like? It could be the Mayor of the city, a similar politician, a well-known philanthropist, a retired CEO or, of course a recognizable athlete in the area or a television personality, etc. But, the predominant characteristics are; they have a heart for the organization and are willing to do their duties in accordance with this sheet.
Next. So, after reviewing all of this information on the sheet, we now have to begin ‘brain-storming” for people that meet the characteristics we’ve presented. Let your minds wander and don’t negate any input. As we said, all the names and contact information we gather will be beneficial to our later efforts as well.
What this means is, with your GFtH consultant and your Board or staff or, just, interested friends and supporters, begin placing the names of individuals you come up with in the small table at the top of this form. Again, just let your minds wander and place every person you all think of on this table. Once we get the table filled out, or not, and you feel you’re spent on the candidates for this job, start talking about each individual and determine the three candidates, in priority, for reaching out and asking them to take the position.
Once this is completed, We will set this form aside and begin working on the next position, the Golf Fundraising Director (GFD).
Also, make sure you determine who is going to address this person relative to recruitment and ask them to conduct the face-to-face meeting as soon as possible.
This person is very, very important.
**Not just yet, but, when we get to the point that we are soliciting the support of the prospective Tournament Chairs, we will use a letter similar to this one;

Well, when you look at the job description above, you might also say, “What? This is way too much to expect a volunteer to accomplish or commit to doing!”
You’re right, it is alot, but, if you want to raise a significant amount of money and not just conduct another mediocre event that does not have the right or expected financial return, then don’t conduct this event in this way.
Also, you’ve probably hoped to have a system or process that could find dedicated leaders that have a heart for your organization and can guide them in an effective direction to accomplish something grande for the organization.
Our objective at this point is to diagnose our ability to conduct an effective and profitable golf fundraiser as opposed to “conducting” the event. No pressure yet.
So, let’s continue…..

We HIGHLY recommend this position NOT be held by the person (lead) responsible for raising the funds or the Development person in the organization. Why? Because that person should be engaged in the overall development process for the organization, not this ONE event only.

Why do we need you as this GFD? …. because you have a great heart for our organization and we need your skill set to conduct an amazing fundraising golf event

(3) What will be the benefits to you? … We know that you don’t need any incentive but, we also know that it would be beneficial to have some reason for joining with us.

*You will make an impact on those being assisted by our organization

(4) How do you do it? We have a golf fundraising consultant and a clearly defined path for you to follow. Refer them to the job description and the Task List that will be identified later in this book.
(5) Next. So, after reviewing all of this information on the sheet, we now have to continue ‘brain-storming” for people that meet the characteristics we’ve presented for the GFD. Again, let your minds wander and don’t negate any input. As we said, all the names and contact information we gather will be beneficial to our later efforts as well.
What this means is, with your GFtH consultant and your Board or staff or, just, interested friends and supporters, begin placing the names of individuals you come up with in the small table at the top of this form. Again, just let your minds wander and place every person you all think of on this table. Once we get the table filled out, or not, and you feel your spent on the candidates for this job, start talking about each individual and determine the three candidates, in priority, for reaching out and asking them to take the position.
(6) Once this is completed, We will set this form aside and begin working on the next position, the Sponsorship Committee Chair (SCC).
Also, make sure you determine who is going to address this person relative to recruitment and ask them to conduct the face-to-face meeting as soon as possible.
This person is, also, very, very important.
f. The Sponsorship Committee Chair. You want to talk about the most important person on your Golf Fundraising Committee? Well, it’s the GFtH Consultant! No, just kidding. Shameless plug. It is the Sponsorship Committee Chair (SCC). Why? We know that almost all of the sponsorship funds received turn into your “net” or “profit” for this golf event. Raise $5,000 in total sponsorship, you’ve probably raised about $5,000 give or take a few $hundred. Raise $20K in total sponsorship, well, you get the picture. The SCC is your fundraising darling. What’s important about this position?
Even if you have one or two people on each document (all three), then you have a very good chance to conduct a successful golf fundraiser. Do you have to, actually, recruit these individuals before you make a decision to conduct the tournament? No, not completely, but, if you were able to identify one or two people for two or three of the positions, we feel you have a great chance of raising significant funds through our golf fundraising format.
You’ll notice we did not say anything about golfers or carts or golf courses or anything other than the three positions; the Tournament Chair (TC), the Golf Fundraising Director (GFD) and the Sponsorship Chair (SC). Honestly, we believe you can conduct a successful event with just two of the three and a GFtH consultant, but, the feasibility study was conducted to determine if we had the basic ingredients to conduct a “successful” event. All of the rest of the stuff will happen if we get these two to three positions filled.
You should discuss your results with a GFtH consultant before you move forward even if it’s just a phone call to discuss the results.
If you are comfortable that you have people to fill each of these positions, then, under the format of GFtH, you probably could go forward and conduct the event with what other guidance is included in this book, but, it sure would be easier with a GFtH consultant and he/she would more than compensate for what it will cost to engage them.

- The key for this position is they are a fundraiser, not a golfer. They MUST have a heart for your organization as well.
- You see we’re talking about a Committee here. The Chair is not doing this alone, we have to help him/her recruit a few more members and the Chair has to be a pretty good manager of people. The other members of the committee will have similar characteristics as the Chair.
- Business oriented, financial management or planning background would be great.
